                    Snoqualmie Middle School PTSA
                    SMS PTSA Board Meeting
                    August 30, 2011

                    Present:  Tina Townsend, Chantal Leblanc, Lulu Jaimes, Sarah Burns and Kendy Sasaki-Ross

                    Old Business:

                    1.  Minutes from Meeting on August 16th,11 were reviewed.
                    -motioned made by Chantal Leblanc to accept the minutes.  Sarah Burns seconded the motion. All in favor.

                    2.         6th Grade Barbeque and Registration
                    -the barbeque was a success.  Many 6th Graders, and their families, attended.  
                    -172 members signed up for the PTSA
                    -43 Spirit Wear orders
                    -275 hot dogs cooked and eaten.
                    -a big “thank-you” to all the volunteers who helped put it together.

                      3.           Smart Pen Grant:
                    -Chantal ordered and received the pens. They were given to Ms. Appleby.            
                    4.          Back to School Conference:

                     -Tina attended the back to school conference for PTSA board members. She indicated that it was very informative.  She handed out information packages for each board member with a description of their roles and responsibilities.
                    -next local training available will be on September 21st from 6:30 to 9:30 at Skyline High School in Sammamish and September 24th from 9-12 at Chief Kanim School.   

                    5.         PTSA Website and Communication:
                    -the general email account:  smsptsa@rocketmail.com is up and running as well as the Snoqualmie Middle School website  www.smsptsa.org  thanks to Nancy Baker and Steve Hollasch.

                    Action items:

                    -Tina will send a general email to all members with the new email address, website and welcoming letter.
                    -Tina will send an email attachment to Kendy with the membership registration information, Spirit Wear order form and welcoming letter to be added to the website as well as any changes

                    New Business


                    1.  Treasurers Report:

                    -Chantal provided a rough draft of the 2011-2012 budget that was discussed at the August 3rd/11 meeting. This will be finalized, and posted, once the PTSA has their Annual General Meeting in September/11, and PTSA board meet with the school to see if there are any immediate needs by the staff and school in general.
                    -it was discussed to allocate funds to provide drinks and a snack at AGM’s and any parent trainings.

                    2.  Committees:

                    -Lead Chairs are needed to head up the following committees:
                      Membership-Danelle Gonzalas
                      Popcorn/goodies-Julie Murray
                      Dances-
                      Book Fair-Sarah Burns
                      Teacher Appreciation-
                      6th grade general volunteer list-
                      Legislative representative-
                      Spirit Wear-Kendy Sasaki-Ross
                       8th Grade celebration-
                                      
                      Action items:

                    -Sarah Burns will go through the list of new members and identify the parents who volunteered for certain committees.  Sarah will email each list and ask for lead chairs for the particular committees.
                    -Tina will ask Membership Chair, Danelle, if she could input all information for the WSPTA by October 1st/11.

                    3.    Curriculum Night:

                    -PTSA will have a table at the front entrance with opportunities for parents to sign up for membership and Spirit Wear.

                    -students will be there to assist. 

                    Action items:

                    -Lulu and Kendy to make sure all information is there for the PTSA table. Lulu will get students to volunteer for the beginning of the night.
                    -Tina to see if the school can put it in the Eagle Blast that the PTSA will have a table up that night,  and to bring their money if they would like to sign up and/or order Spirit Wear.

                    4.  Fundraisers:

                    -the school dance fundraiser was discussed.  2 dates were identified as possible dates/times for the PTSA to host.  This needs more clarification with Mr. Newell, and to see if the other middle schools have events going on at the same time.
                    -Pledge drive dates were also discussed.  PTSA is looking at the end of October for 2 weeks.  This will be brought forward at the next meeting for further discussion.
