SMS PTSA Board Meeting
August 16, 2011

6:30 to 8pm
Present: Tina Townsend, Chantal LeBlanc, Kendy Sasaki-Ross
Regrets: Lulu Jamies, Sarah Burns
Old Business:
1. 6TH Grade Welcome Barbeque
-Tina contacted Mr. Newell and found out there are approximately 176 new students entering SMS this year. He will send out an email soon to all new families regarding the barbeque on August 24th from 12:30 to 3pm.
-PTSA is in charge of buying the food, preparing it, PTSA membership table and PE wear handout.
-a vote was made to set aside $250 for the barbeque which would include hot dogs, buns, chips, pop, water, condiments etc…$64 that was made at the 8th Grade celebration last year would go towards this cost. All in favor.
-need approximately 10-15 volunteers for the day. (2-3 people on membership, 3 on the barbeque, 2 hand out schedules, 1-2 for Spirit Wear, 1-2 for PE Wear. Look at getting some of the older students to help out.)-7th and 8th grade will have their registration from 8-10am that day.
Action items:
-Kendy will buy the food for the barbeque on the 24th
-Tina will contact Sarah Burns regarding list of volunteers.
2. PTSA Membership:
-Tina brought a draft of the 1 page membership form including cost of membership, option to prepay for pledge drive, Spirit Wear and volunteer information.
- Tina brought information regarding new cost for PTSA/ WPTSA members. As the cost has not gone up significantly, a decision was made to keep the same price as last year for SMS PTSA members. ($15 per member and $25 for family.)
-Kendy brought updated cost of Spirit Wear, provided by Replicator Graphics, as cotton has gone up this year. PTSA made a decision to increase the price slightly and have hoodies and t-shirts available to students/parents and staff with the front logo.
Action items:
-Kendy will contact Replicator Graphics and get some sample sizes for registration day.
-Tina will complete the registration form for the 24th.
3. Back to School Conference:
-Tina will be attending this conference on August 25th/11.
4. PTSA Website/Communication:
-information was provided by Nancy Baker (PTSA Member) regarding getting SMS’s own website up and running.
-the Board was in favor of getting a website up and running with information for members/non members to access during the year, plus having information on the Eagle Blast too.
Action items:
-Kendy will meet with Nancy on August 18th to learn how to get the website up and running.
New Business:
1. Smart Pen -Grant:
-Dawn Appleby, teacher at SMS, had requested 2 Smart Pens as a grant proposal from last year. It could not be purchased at the time. The cost is $325.69 for both.
-a motion was made to purchase the pens, before the new school year, as promised. Chantal will purchase them .All in favor.
2. President’s Meeting:
–Tina attended this meeting on August 10th/2011. Information was provided regarding what is happening in the school district. People can go to the Snoqualmie Valley School District website for more information.
